What is the best equipment inspection software?

Updated 31 July 2026 — pricing and features checked on the vendors’ official pages; every interval below is quoted from its primary text (eCFR/OSHA, HSE, ANSI, EN).

✅ Why this is harder than it looks

Equipment inspection sounds like a scheduling problem. It is really an evidence problem: on the day an inspector, an insurer or a court asks, can you show that a specific item was examined by a named competent person, against defined criteria, on a defined date, and that anything found was acted on?

A spreadsheet answers that for twenty items. It stops answering it at two hundred, and it never answers it for equipment that moves between sites, gets issued to different people, or comes back from a repair.

But before comparing software, there is a distinction that almost every English-language buying guide gets wrong, and it changes what you need the software to do.


In the United States, three different things get called “required”, and they are not equally enforceable:

1. A legal obligation. OSHA regulations in 29 CFR. These are enforceable directly, with citations and penalties. Example: 29 CFR 1926.502(d)(21)“Personal fall arrest systems shall be inspected prior to each use for wear, damage and other deterioration, and defective components shall be removed from service.”

2. A consensus standard. ANSI/ASSP, ASME, ANSI/SAIA. Voluntary in federal law. They become enforceable through contracts, insurers, client requirements, manufacturer instructions and — where a standard defines what the industry regards as reasonable practice — through the OSH Act’s general duty clause. Example: the annual documented inspection of fall protection equipment by a competent person, which comes from ANSI/ASSP Z359.2-2017 § 9.4.2, not from OSHA.

3. A manufacturer instruction. Enforceable because you must use equipment in accordance with its instructions. Example: the factory service interval several manufacturers impose on self-retracting lifelines.

That second category is where most confusion lives. Half the vendors in this market will tell you OSHA mandates an annual fall protection inspection. It does not. OSHA mandates a pre-use check. The annual formal inspection is a consensus standard that virtually the whole industry follows — and in the European Union, the same 12-month maximum is an actual legal obligation under EN 365 and Regulation (EU) 2016/425. Identical practice, different legal footing, and it matters when you are deciding how much evidence to keep.

There is no US equivalent of the French vérification générale périodique, where the interval for each equipment family is fixed by decree. The dominant US requirement is “before each use”, and the fixed intervals that do exist in federal law are surprisingly few.


🔍 Who has to inspect what, and how often

Three things to take away from that table. First, forklifts have no federal annual inspection requirement in the United States — anyone selling you an “OSHA-mandated annual forklift inspection” is selling you a manufacturer or insurer recommendation, and should say so. Second, the MEWP annual inspection interval is thirteen months, not twelve (ANSI/SAIA A92.22), which is the single most common scheduling error in this field. Third, the UK interval for lifting accessories is six months under LOLER, half the US figure for the same slings and shackles — so a multinational that standardizes on one number is out of compliance somewhere.

Overview

Papertrail exists for the annual competent-person inspection of PPE and lifting gear, and it shows. It ships a product directory of more than 120 manufacturers, so a harness is identified by its actual model rather than typed in by hand by whoever built the register. On a fleet of a thousand items, that is the difference between a two-week data-entry project and an afternoon.

A manufacturer catalogue is not by itself what sets Papertrail apart — GearTracker ships one too, running to thousands of references. What Papertrail adds is the layer above it: each model arrives with its own inspection checklist, so you are not writing the criteria yourself.

Overview

Onix Work, from the Norwegian vendor Onix, is the only product here designed around the three parties in lifting-equipment compliance at once: the owner, the inspection body and the supplier all work on the same record, and documents flow between them.

It is also the only one that ships templates for named control regimes — LOLER, NORSOK and EKH — and produces Reports of Thorough Examination and Declarations of Conformity as standard outputs. If you operate in Northern Europe or offshore, that is a large head start. That flexibility is the catch. It will track inspections well if you configure it to, and nothing out of the box tells you what a fall-protection inspection should contain. A badly configured register is worse than a spreadsheet, because it looks authoritative.

🧾 What an inspection record has to contain

Whatever software you choose, an inspection record that will survive scrutiny needs six things. Check the product produces all six before you buy:

  1. The item, uniquely identified — serial number, not “harness #4”. Manufacturer, model, date of manufacture and date first put into service.
  2. The date of the inspection, and the date the next one is due.
  3. The person, named, with evidence of their competence for this equipment type.
  4. The criteria applied — a checklist tied to the manufacturer’s inspection points, not a free-text note.
  5. The verdict and what happened next: passed, quarantined, repaired, destroyed. Destruction matters: the HSE expects a defect to be confirmed in writing even when it was remedied on the spot by cutting the sling in half.
  6. Retention, for as long as the item is in service and, in several regimes, beyond it.

Point 4 is where the cheap end of this market falls down, and point 3 is where in-house programmes fall down.


❓ Frequently asked questions

Does OSHA require an annual inspection of fall protection equipment?

No. OSHA requires a pre-use inspection — 29 CFR 1926.502(d)(21) — and immediate removal from service of anything subjected to impact loading. The annual documented inspection by a competent person comes from ANSI/ASSP Z359.2, a voluntary consensus standard. It is nonetheless what the industry does, what manufacturers instruct, and what insurers and clients expect, so treating it as optional is unwise. In the EU, the same 12-month interval is a legal requirement under EN 365.

Who counts as a competent person?

OSHA defines one as capable of identifying existing and predictable hazards and authorized to take prompt corrective measures. ANSI/ASSP Z359.2 adds that they must have documented training on the specific equipment type and on the manufacturer’s inspection criteria, and must not be the user. In the UK, the HSE adds independence: it should not be the person who carried out the maintenance, since they would be assessing their own work. No jurisdiction requires an accredited body — but all of them require you to be able to evidence the person’s competence.

Do forklifts need an annual inspection in the US?

No federal one. 29 CFR 1910.178(q)(7) requires examination before being placed in service and at least daily, and after each shift where trucks run around the clock. Manufacturers and insurers often recommend an annual service; that is their requirement, not OSHA’s, and a vendor who conflates the two is not a reliable source.

Is the MEWP annual inspection due at 12 months?

No — 13 months. ANSI/SAIA A92.22 requires the annual inspection “no later than thirteen (13) months from the date of the prior annual inspection”, and the result must be recorded on a decal or plate on the machine. There is also a frequent inspection every 3 months or 150 hours, whichever comes first.

Can one system cover a US site and a UK site?

Yes, but only if it lets you set different intervals per site for the same equipment type. UK lifting accessories need a thorough examination every 6 months under LOLER; the equivalent US requirement for alloy steel chain slings is a daily check plus a periodic inspection at intervals not exceeding 12 months. A product with one global interval per equipment type will put you out of compliance on one side of the Atlantic.

Is inspection software the same as a CMMS?

No. A CMMS plans and records maintenance work; inspection software produces the evidence that an item was examined against criteria. Some CMMS import inspection reports and track corrective actions, but they do not replace the inspection. See our CMMS comparison.
